Privacy Policy
Last updated: 16 October 2026. This version applies from its publication.
This policy explains how Futura 3D B.V. handles personal data when you visit www.futura3d.be, contact us or request our 3D printing and related services. It also explains your rights under the General Data Protection Regulation (GDPR).

2. Data we collect
We receive data directly from you through our website forms, email, telephone and business correspondence. A customer or supplier may also provide the professional contact details of a colleague involved in a project.
- Contact and business details: name, contact person, email address, phone number, company and country, as supplied.
- Quote and project information: the requested technology, application and services, materials and colours, dimensions, quantities, delivery dates, project description, messages and the form’s consent indication.
- Files you choose to upload: CAD or 3D models and their contents, filenames, file size and type, upload identifiers, timestamps and download links. Files and embedded metadata may contain personal information, such as an author’s name or an identifiable person’s scan.
- Technical data generated when accessing the website or its services, such as IP address, browser and device information, requested pages or resources, timestamps, errors and security logs. The website also stores your language preference in your browser.
3. Purposes and legal bases
We use personal data only as needed for the following purposes. The applicable legal basis depends on the request and our relationship with you.
- Assessing a project, reviewing files, preparing a quote and supplying agreed services: steps at your request before a contract or performance of a contract with you (Article 6(1)(b) GDPR). When you act for a company, our legitimate interest in handling that company’s enquiry and business relationship applies instead (Article 6(1)(f)).
- Customer and supplier communication, follow-up, project coordination and resolving disputes: our legitimate interests in operating our business and protecting our rights (Article 6(1)(f)), or contract performance where you are the contracting party.
- Accounting, tax obligations and responding to legally binding requests: compliance with applicable legal obligations (Article 6(1)(c)).
- Delivering and securing the website, preventing abuse and diagnosing faults: our legitimate interests in a reliable and secure service (Article 6(1)(f)).
- Where a separate optional use relies on your consent, including non-essential technologies where required: your consent (Article 6(1)(a)). A quote request does not subscribe you to unrelated marketing.
4. Quote requests and uploaded files
Fields marked as required are needed to handle an online request. Without the necessary contact or project details, we may be unable to assess or answer it. Other details and file uploads are optional; we may need to ask for technical information before preparing a quote.
An uploaded file is processed through the website’s file-upload service. The quote submission includes the filename and a download link so that the file can be reviewed. Anyone who receives a valid download link may be able to access the file; share it only with authorised recipients.
Only send files and personal information necessary for your request and that you are entitled to share. Avoid sensitive personal information or identifiable scans of people unless they are necessary and their handling has been agreed with us. Technical project information is covered by this policy to the extent that it is personal data.
5. Who receives the data?
Data may be accessed by authorised Futura3D personnel and service providers involved in website hosting, file storage, form delivery, email, IT support and business administration, to the extent needed for their tasks. Professional advisers, project suppliers or competent authorities may receive relevant information where needed for the service, a legal obligation or the protection of legal rights.
The public website is hosted with Easyhost. The current quote form sends its submitted fields, and any uploaded filename and download link, to Readdy’s form service for delivery of the enquiry. This does not mean that Readdy hosts the uploaded CAD file itself.
The website also loads fonts from Google Fonts, icon styles from cdnjs (Cloudflare) and certain images from public.readdy.ai. These external requests disclose connection data, including your IP address and browser information, to the relevant service. They are distinct from advertising or audience-measurement tools.
Where providers process personal data on our behalf, their access must be limited to the agreed service and governed by appropriate data-protection obligations. You can request further information about recipients using the contact details above.
6. International processing
External form and content-delivery services may involve processing outside the European Economic Area (EEA). A Belgian website address does not mean that every external service processes data exclusively in Belgium.
Where a transfer outside the EEA takes place, the GDPR requires an applicable transfer mechanism, such as an adequacy decision or appropriate safeguards, including the European Commission’s standard contractual clauses and additional measures where necessary. Contact info@futura3d.be for information about destinations and the safeguards applicable to your data, or to request a copy of those safeguards.
7. How long we keep data
The quote-upload workflow is designed to retain uploaded files for 90 days and to expire their download links after that period. This period relates to the upload service; it does not automatically delete the associated enquiry or copies legitimately retained in an active project file.
We retain enquiries, correspondence and project records only for as long as necessary to assess and follow up a request, carry out the agreed services, meet legal obligations and establish, exercise or defend legal claims. Relevant criteria include the status of the enquiry or contract, the nature of the records, applicable statutory retention requirements and limitation periods. Technical logs are retained only as necessary for operation, troubleshooting and security. We delete or anonymise personal data when it is no longer needed.
8. Cookies and similar technologies
The website uses browser local storage to remember the selected language. Cookies or comparable technologies may also be used where necessary to deliver or secure a service. You can manage browser storage through your browser settings; removing it may reset preferences.
Non-essential cookies or similar technologies, including analytics or advertising technologies if introduced, are subject to your choice and prior consent where required by law. This policy does not treat a website visit or quote request as consent to such technologies. Details of any such use and the available choices must be provided when those technologies are offered.
9. Security and automated decisions
We use technical and organisational safeguards appropriate to the data and risks, including HTTPS for website communications and controlled access to project information. Please keep file-download links confidential. No transmission or storage system can guarantee absolute security.
The website’s quote workflow does not make decisions based solely on automated processing that produce legal or similarly significant effects on you.
10. Your rights
Subject to the conditions and exceptions of the GDPR, you can exercise the following rights by contacting info@futura3d.be or writing to our registered office:
- Access your personal data and obtain a copy; have inaccurate data corrected or incomplete data completed.
- Request erasure or restriction of processing where the applicable conditions are met.
- Receive data you provided in a structured, commonly used, machine-readable format, and request its transfer to another controller where technically feasible, when processing is automated and based on consent or a contract.
- Object, on grounds relating to your particular situation, to processing based on legitimate interests. We will stop unless we demonstrate compelling legitimate grounds overriding your interests and rights, or need the data for legal claims. You may object to direct marketing at any time.
- Withdraw consent at any time where processing relies on consent. This does not affect the lawfulness of processing before withdrawal or processing that has another valid legal basis.
11. Requests and complaints
We normally respond to a rights request within one month. If a lawful extension is necessary because of its complexity or the number of requests, we will explain this within that month. We may request proportionate information to verify your identity. Requests are normally free of charge.
You may lodge a complaint with the Belgian Data Protection Authority (Autorité de protection des données / Gegevensbeschermingsautoriteit), Rue de la Presse 35 / Drukpersstraat 35, 1000 Brussels, Belgium; contact@apd-gba.be; +32 (0)2 274 48 00. You may also contact the supervisory authority in the EEA country of your habitual residence, place of work or the alleged infringement.
12. Policy updates
We may update this policy when our processing activities or legal requirements change. The date above identifies this version. Material changes will be communicated in an appropriate way; where a new use requires consent, we will ask for it before that use begins.
